READYBIT PRIVACY POLICY

This Privacy Policy explains how Readybit Inc. (“Readybit,” “we” or “us”), 19225 8th Avenue Northeast, Suite 201-1802, Poulsbo, WA 98370, United States, collects, uses and shares personal information when you visit readybit.com (the “Website”), use the Readybit monitoring platform at dash.readybit.com and the related mobile and device software (the “Platform”), or communicate with us. Readybit is a business-to-business company. We do not sell personal information, we do not run advertising, and we do not share personal information for cross-context behavioral advertising.

1. Two roles: our own data and our customers’ data

Readybit handles personal information in two different roles.

For visitors to the Website, people who contact us or request a demo, job applicants, and the account details of people who sign in to the Platform, Readybit decides how the information is used. This Privacy Policy governs that information.

For data that a Readybit customer and its users enter into the Platform about their own business, such as site addresses, on-site contacts, drivers and technicians, alert recipients, notes and photographs, Readybit processes that data on the customer’s behalf and under the customer’s instructions. That processing is governed by the customer’s agreement with Readybit and by Readybit’s Data Processing Addendum at readybit.com/dpa, and the customer is responsible for that data. If your information is in the Platform because a Readybit customer put it there, please direct questions and requests to that customer; we will help them respond.

2. Information we collect

Information you give us. When you submit a form on the Website (contact, book a demo, product enquiry, savings calculator or support), we collect the fields on the form: first and last name, business email address, phone number, company, job title, industry and your message. When you create or are invited to a Platform account we collect your name, business email address, business or mobile phone number (including a number you supply to receive alerts by text message), role and organization, and the sign-in credentials managed by our identity provider. When you email us, we keep the correspondence. If you apply for a job by emailing jobs@readybit.com, we receive your resume and anything else you send.

Information collected automatically on the Website. We use Google Analytics 4 to understand how the Website is used. It records the pages you visit, the page that referred you, your browser and device type, screen size, language, approximate location derived from your IP address, and events such as scrolling, time on page, clicking an email link and submitting a form. Google truncates IP addresses on collection and does not store the full address. Google Signals is not enabled and no Google Ads account is linked to our analytics property. We do not use Google Analytics data to identify you by name.

Information collected automatically on the Platform. When you sign in and use the Platform we record your IP address, browser and device information, sign-in events, the pages and features you use, and application errors. When you accept the Readybit Terms of Use we may keep a record of the version you accepted, the date and time, your email address, your IP address and your browser identifier, as evidence that the agreement was formed.

Device data. Readybit devices report equipment and container telemetry such as fill level, temperature, orientation, location, device status and diagnostics. This is data about equipment and containers, not about people. Where a customer associates a mobile container with a named driver or vehicle so that its location history can be linked to that person, Readybit treats the location data as personal data processed on the customer’s behalf under the Data Processing Addendum.

3. How we use information

We use personal information to operate the Website and the Platform; to respond to enquiries, schedule demos and provide support; to create and secure accounts and deliver alerts, reports and service notices; to send product updates and marketing email where you have opted in or where we are otherwise permitted to; to understand how the Website is used and improve our products; to detect, investigate and prevent security incidents and misuse; to keep records of the agreements you accept; to consider job applications; and to comply with law and enforce our agreements.

If you opt in to email communications on one of our forms, we may send you product news and marketing email. Every such email includes an unsubscribe link, and you can also unsubscribe by emailing legal@readybit.com. Service notices, alerts and security messages relating to an account you hold are not marketing and are sent for as long as the account is active.

4. How we share information

We share personal information only with the service providers that help us run the Website and the Platform, with our customers and their channel partners as described below, and where the law requires. We do not sell it.

Service providers. The following companies process personal information on our behalf, under contracts that limit their use of it to providing their service to us. SitePartners (BlackBean Marketing), the agency in Abbotsford, British Columbia that built and operates the Website, hosts it through Netlify, Inc., serves its images from the agency’s own servers, and processes submissions from the Website’s forms through Usebasin (Basin), which forwards them to us. Google LLC provides Website analytics (Google Analytics 4) and our business email and productivity tools (Google Workspace). DigitalOcean, LLC hosts the Platform and its databases and backups in the United States. Okta, Inc. (Auth0) provides sign-in and identity for the Platform. Twilio Inc. (SendGrid) delivers account, alert, invitation and report emails and, where enabled, text message alerts.

Providers that receive limited data. When a site address is saved in the Platform, that street address, without contact details, is sent to a geocoding service (the United States Census Bureau, the OpenStreetMap Foundation, Geocodio or Google) to convert it to map coordinates. Your browser loads web fonts from Google, map tiles from the OpenStreetMap Foundation and map assets from jsDelivr, so those providers receive your IP address and browser information in the ordinary course of serving that content. Depending on how you sign in, your profile image may be loaded from Automattic (Gravatar) or Google.

Customers and channel partners. If you use the Platform through your employer or another organization, that organization’s administrators can see your account details and activity within the Platform. If a customer obtained Readybit products through a reseller, distributor or equipment manufacturer, Readybit makes the customer’s account and monitoring data available to that partner and to the customer’s designated service provider, in accordance with role-based access and as authorized in the Readybit Terms of Use.

Legal and corporate. We may disclose personal information when required by law, subpoena or court order, to protect the rights, property or safety of Readybit, our customers or others, and in connection with a merger, financing, acquisition or sale of all or part of our business, in which case the successor will be bound by this Privacy Policy for the information transferred.

5. Cookies and analytics

The Website’s own server does not set cookies. Google Analytics sets cookies on readybit.com (named _ga and ga followed by an identifier) to distinguish visitors and sessions. The Platform sets a session cookie on dash.readybit.com when you sign in, which expires after one day of inactivity and is used only to keep you signed in.

You can block or delete cookies in your browser settings, and you can prevent Google Analytics from collecting data about you on any site by installing the Google Analytics opt-out browser add-on available from Google. Blocking the Platform’s session cookie will prevent you from staying signed in. We do not currently respond to browser Do Not Track signals.

6. How long we keep information

We keep enquiries, demo requests and correspondence for as long as needed to respond and to maintain our relationship with you or your organization. Google Analytics retains event-level data for the period configured in our analytics account, currently 2 months. Platform account data is kept for the term of the customer’s agreement and for 30 days afterward for export, after which it is deleted from production systems within a commercially reasonable time and from backups as the backup cycle overwrites them; the details are in the Data Processing Addendum. Where we keep a record of your acceptance of the Terms of Use, that record is kept after an account is deleted, as evidence that the agreement was formed. Job applications are kept for as long as the role is open and for a reasonable period afterward. We may keep information longer where the law requires it or where it is needed to resolve disputes or enforce our agreements.

7. Security

Readybit maintains administrative, physical and technical safeguards designed to protect personal information, described at readybit.com/security. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your account has been compromised, contact us at security@readybit.com.

8. Your choices and rights

You can ask us to access, correct or delete the personal information we hold about you, or to stop sending you marketing email, by writing to legal@readybit.com. We will verify your identity and respond within the time required by applicable law. If you are a Platform user, you can update your own profile in the Platform, and your organization’s administrator can remove your account. If your information is in the Platform because a Readybit customer entered it, we will refer your request to that customer and assist them in responding. Where a United States state privacy law gives you additional rights, such as the right to know what information we hold, the right to have it deleted or the right not to be discriminated against for exercising your rights, we will honor those rights.

9. Where information is stored

Readybit operates in the United States and stores and processes personal information there, except that the Website is operated by our agency in Canada, so submissions through the Website’s forms are handled in Canada. If you use the Platform from Canada, your account information will be transferred to and processed in the United States. The Website and the Platform are not intended for individuals in the European Economic Area, the United Kingdom or Switzerland.

10. Children

The Website and the Platform are for business use and are not directed to anyone under 18. We do not knowingly collect personal information from children.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised version at readybit.com/privacy-policy with a new “Last updated” date, and where a change materially affects how we use information about Platform account holders we will notify the administrator contact on each affected account by email.
